• Business and lead information that you upload, connect, or provide to ColdCloud.
• Conversation content and follow-up activity processed through the service.
• Technical and usage data, such as browser, device, IP address, logs and feature usage.
• Billing information handled by a payment provider if paid plans are enabled. ColdCloud should not store full card details directly.

3. How we use information

• Provide, operate and improve the ColdCloud service.
• Run follow-ups and conversation workflows configured by the customer.
• Detect intent and prepare conversations for human takeover.
• Authenticate accounts, prevent abuse and maintain security.
• Provide support, service notices and transactional communications.
• Meet legal obligations and enforce our terms.

4. Customer lead data

Customers are responsible for ensuring they have a lawful basis and appropriate permissions to upload, contact or process their leads. ColdCloud processes customer-provided lead data only to provide the service and according to the customer’s instructions, subject to applicable law and our terms.

5. Sharing of information

We may use service providers for hosting, authentication, messaging, analytics, email, payments and similar infrastructure. We may also disclose information where required by law, to protect rights or security, or as part of a business transfer. We do not sell personal data.

6. Data retention

We retain information only for as long as reasonably needed to provide the service, meet legal obligations, resolve disputes and maintain security. Customers may request deletion of their account or data, subject to legal or operational retention requirements.

7. Security

We use reasonable administrative and technical safeguards appropriate to the stage and nature of the service. No system is completely secure, so absolute security cannot be guaranteed.

8. Your choices and rights

You may contact us to request access, correction or deletion of personal information associated with your account, subject to applicable law. Customers are responsible for responding to rights requests relating to lead data they control.

9. International processing

Service providers may process information in countries other than your own. Where required, we will use appropriate safeguards for such transfers.

10. Children

ColdCloud is intended for businesses and is not designed for children.
